Terms of use

The rules for using Ruche, in plain language.

The service

Ruche is a management system for service businesses: scheduling, a booking page, the appointment link for the person booking, reminders by email, clients, team and the other modules presented on this site.

What each plan includes

The plans, limits and prices are on the Pricing page. Whoever creates an account uses everything in Team for 30 days, with no card; at the end, the account moves to Free, with no charge, and you subscribe only if you want to. Email campaigns (the automatic ones, the notices and the vaccine reminder) are part of the paid plans: on Free, they do not go out; the automatic ones that are turned on are kept and go out again when the account subscribes to a plan, without sending late whatever was left behind. Those who already used Ruche before billing began pay the founder price when they subscribe, for as long as the subscription is active. Features presented on this site that are still under construction are only included in what is charged once they arrive, and those who already have a plan that includes them receive them at no extra cost.

Your account

You are responsible for access to your account and for the information you enter. Don't share your password.

Use of links and emails

You send the appointment link from your own WhatsApp, or wherever you already talk to each client, following the rules of each app. Ruche's automatic emails deal only with booked appointments. It is forbidden to use Ruche for mass messages, spam or illegal content.

Payments through the page

When you turn on payment through the page, the person booking pays you directly: by Pix, to your key, or through the account of the payment provider you connect. Ruche does not receive, hold or pass on this money, and does not charge a commission on it. The payment method's fee, refunds and chargebacks are between you and your bank or provider. The tax invoice or the receipt for the service is yours, as always. The payment, deadline and cancellation rules the person sees before booking are the ones you chose in the dashboard. In the dashboard, you can also request payment for an appointment you booked, with the deadline and what happens if the person does not pay. A refund is the right of the person who paid: the amount to be refunded only becomes credit for next time if the person chooses it (on the appointment page) or agrees (and you confirm in the dashboard), and the credit follows the validity of your gift cards. Connecting your Asaas account authorizes Ruche to create, query, cancel and refund through it the charges for appointments booked through your page and to register the payment notice there; the Asaas account, contract and fees are yours. You can disconnect whenever you want, under Settings, Payments.

Your clients' packages and plans

When you sell session packages or monthly plans, the conditions the person sees before paying are the ones you chose in the dashboard: how many sessions, for which services, the validity (from 30 days to 2 years, or no expiry), whether a no-show uses up the session and, for a plan, the month's quota. They apply to whoever bought, even if you change the package later. A session canceled within the deadline of your rules returns to the balance. The plan has no penalty: the person cancels through the link and it stays valid until the end of the paid month. Whoever buys through your page can withdraw within 7 days of payment, without using any session, and receives the full amount (Brazilian Consumer Protection Code, article 49); on an Asaas account, Ruche requests the refund through it, and for the Pix of your own key the refund is up to you. The money goes straight to you, as with other payments through the page.

Reviews

Only those who had an appointment marked as Completed can review, and everyone served receives the invitation under the same rule. You may not offer anything in exchange for a review, nor ask anyone to change or delete theirs. You can reply in public and report a review that breaks the rules (insult, personal data, a subject that is not the appointment); you cannot delete or edit reviews, positive or negative. The Ruche team decides on reports and may hide what breaks the rules. Turning off review requests (at most twice in 12 months) does not remove the existing ones from the page.

Cancellation and deletion

You cancel the subscription in the dashboard, under Settings, Plan, whenever you want and with no penalty: nothing changes until the end of the paid period, and afterward the account moves to Free without losing anything. Under Settings, Your data, you download your data and request deletion of the account. The account waits 30 days before closing, and until then you can change your mind; afterward, everything is erased within 24 hours.

Unused account

We do not keep your data, nor that of your clients, after you stop using Ruche. For that reason, an account that goes unused and without a paid subscription for 3 months is closed and the data is erased; if you have ever had a paid plan, the period is 6 months. Unused means: no one on the team signed in to the dashboard, no appointment was booked (not even through your page) and no payment was recorded or received. While a paid subscription is in force, the account is never closed for this reason; the free trial does not count as a subscription. Beforehand, we notify the owner, the partners and the business email by email 1 month, 2 weeks and 3 days ahead, with the date. Signing in to the dashboard already counts as use, and the count starts again from zero. Through the notices, you can also download all your data. The closing follows the same path as a requested deletion: clients with a booked appointment and an email are notified, everything is erased within 24 hours and only the record of charges that the law requires us to keep remains. For accounts created before September 29, 2026, this rule starts on the date we announce by email and in the dashboard, at least 30 days after the notice, and the count starts from that date.

Changes

If these terms change, we will notify you in the dashboard and by email at least 30 days in advance, explaining what changes and when they take effect. Until then, you can cancel your subscription and delete your account without a penalty, and download all your data.

Ruche's WhatsApp

With Ruche's official WhatsApp, the confirmation and notices of your appointments go out from Ruche's number, with your business name, and the bot replies to your clients with the rules you chose in the dashboard (reschedule, cancel, payment). In the dashboard, you only send the confirmation to people who agreed to receive it, and you confirm this before sending. Messages that Ruche starts outside a conversation opened by the person have a monthly cap on each plan; once it is passed, the confirmation and notices continue by email. Your own number remains yours: Ruche never sends a message from it. It is forbidden to use Ruche for mass messages or advertising on WhatsApp.

Conversations with your clients

Through the Conversations inbox, you and whoever you authorize reply on Ruche's WhatsApp, with your business name at the start of each message. Free-form replies are only possible within 24 hours after the person's last message; after that, a notice goes out saying you replied, and the person opens the conversation to read it. Conversations are kept for 180 days. Use the conversation only to deal with the appointment: no advertising.

Ruche's Telegram

With Ruche's Telegram, whoever books with you can receive the confirmation and reminders from Ruche's bot on Telegram, with your business name, and the bot replies with the rules you chose in the dashboard (reschedule, cancel, payment). What it cannot answer goes to the Conversations inbox, and your reply goes out through Telegram, with your business name at the start. You and your team can also receive schedule alerts on your own Telegram. Use the conversation only to deal with the appointment. It is forbidden to use Ruche for mass messages or advertising on Telegram.

Ruche's Messenger and Instagram

With Ruche's Messenger and Instagram, whoever books with you can receive the confirmation through Ruche's Page and account, with your business name, and the bot replies with the rules you chose in the dashboard (reschedule, cancel, payment). Reminders go out there only up to 24 hours after the person's last message, as Meta requires; outside that window, they go by email. What the bot cannot answer goes to the Conversations inbox, and your reply goes out in the same conversation, with your business name at the start, also only within those 24 hours. Use the conversation only to deal with the appointment. It is forbidden to use Ruche for mass messages or advertising on Messenger and Instagram.

Compare with the industry

The industry comparison is optional, comes turned off and is available on all plans. Those who take part see the group's numbers; those who do not, do not. The numbers are aggregated (the median and the range of at least 10 businesses), for the closed month, and never show a single business, or anyone's clients or amounts. You turn it off whenever you want, under Settings, Compare with the industry. If one day there is a partnership with brands or stores, they receive at most the same anonymous aggregate that the dashboard shows, never data from a single business, and the order of benefits is never paid for.
